​Part-time Administrator

Job Posting

We are seeking an individual to serve as a part-time Administrator to assist the volunteer Board of Directors and its Standing and Ad Hoc Committees in the pursuit of its mission.  

Responsibilities include:
  • Assisting the board of directors with its monthly meetings and the planning of events
  • Helping schedule and promote events--creating promotional materials, producing mass mailings, tracking RSVPs/ticket sales, and attending events 
  • Maintaining documents, data sets and reports on various platforms--primary data sets include mailing lists, membership roster, an online Directory of Members, and documents/texts/images used on the web site
  • Managing a website and social media presence

This is a contracted position and will be compensated at the rate of $20 per hour. 
It is expected that the Administrator will work approximately 28 hours per month and bill quarterly.

Required Skills:
  • Excellent communication skills – both written and verbal
  • Superior organizational skills and dedication to completing projects in a timely manner
  • Ability to manage a website, and social media presence including creation of promotional materials
  • Proficiency in MS Office with expertise in Microsoft Word, PowerPoint and Excel
  • Understand basic bookkeeping
  • Ability to coordinate logistics of meetings and events
  • Experience in working collaboratively with multiple partners
Preferred Experience Includes:
  • Volunteer experience (either as a volunteer or working with volunteers)
  • Familiarity with non-profit administration
  • Understanding of the election process and cycles
  • Educational background that supports this work
Task List:
Specific tasks will vary depending on the needs of the volunteers working on projects and committees throughout the year.  Assignments may include, but are not limited to:
  • Researching information about elected officials 
  • Implementing recruitment strategies
  • Maintaining membership and mailing databases
  • Seeking venues for events and coordinating other logistics
  • Creating promotional materials
  • Sending dues renewal notifications
  • Communicating with the membership electronically
  • Assisting President in preparing materials for Board meetings
  • Receiving and record payments not made online
  • Managing fulfillment tasks associated with items being sold

The Administrator will carry out assignments as directed by the WON Foundation President and work closely with the Board of Directors.

​The Administrator is responsible for assisting the WON Foundation  Board in all aspects of its operation.  This includes assisting subcommittees and ad hoc committees as necessary. Examples of specific responsibilities are described below.  These responsibilities may vary from time to time and are often dependent on interest and skills of members of the Board and its subcommittees.

BOARD MEETINGS
Reserve room
Assist President with agenda prep
Send meeting materials
Set up/Attend meeting
Track actions to be taken
Receive and record payments
Assist Treasurer in maintaining financial reports

VARIOUS COMMITTEE MEETINGS
Assist with logistics when requested by Committee Chairs

NOMINATING COMMITTEE
Assist Committee with task of preparing slate (understanding bylaws, members in good standing etc.)

NETWORKING BREAKFASTS
Reserve room
Order breakfast and confirm numbers
Room set up/break down
Arrange video recording
Send notifications
Set up and staff Welcome/Registration Table (name tags, collect money, etc.)
Assist President with agenda/speaker bio etc.
Create feedback form

INTERNET PRESENCE
Maintain/update website and Facebook page
Answer questions or direct to appropriate Board member

SPECIAL PROJECTS
Assist with logistics as requested for special events including our annual WONder Woman Banquet or helping to promote sales of and track the sales of items such as our 19th Amendment Commemorative Scarves.
